A transcription engine chosen for therapy sessions

We chose one of the most accurate transcription engines on the market and tuned it for therapy sessions.

It transcribes what is said word for word, without rephrasing, summarising or translating. It keeps hesitations, sentences restarted halfway and interruptions. It recognises medication names, symptoms and clinical vocabulary, from CBT and EMDR to systemic therapy.

How has your week been since our last session?
Patient00:16
Quite good… well, on Tuesday I, um, I avoided the meeting again.

Dat zegt ze altijd, maar deze keer was het anders.
Patient00:29
Yes, this time I told them beforehand. That's something.

Separate voices

Theramate tells apart the voice of each person present and attributes each passage to you, to the patient or to another person.

For a couple session, a family session or a session with a parent, list who was there in « Session participants ». You can add up to two people besides the patient, another patient from your list or a guest. Each of them finds their own words in the transcript.

60 languages, even in the same session

Theramate transcribes 60 languages and detects the spoken language on its own. A session can move from one language to another, and each sentence is transcribed in the language it was spoken in.

Think of a couple where one partner speaks French and the other Dutch, a patient who switches back to her mother tongue to talk about her childhood, or a parent who answers in English during a family session. The session summary is always written in your working language.

Recording the session

Open the consultation with « Launch Consultation » and click « Start Recording ». Theramate checks that the microphone picks up sound and lets you choose which one to use.

You can stop and restart the recording as often as you need, for instance when a patient asks you to pause for a moment. Each recording can be deleted before the end of the session, and the ones you keep are joined in order. A session can last up to four hours of recording, which also covers assessments and group sessions.

You keep taking notes while recording, on the keyboard or with the stylus on iPad. The ways of taking notes are described in Take your session notes on the keyboard, with a stylus on iPad or on paper.

On computer, iPad and iPhone

You record from your computer, your iPad or your iPhone, and the session goes into the same file.

If your computer or iPad runs out of battery just before a session, start the recording on your iPhone. The transcript and the update of the file are exactly the same.

The recording is saved on your device as it goes. If the connection drops, nothing is lost. You finish the session from the same device as soon as the connection is back.

Dictate, import, consult by video

The « Dictate » button in the editor turns your voice into text, straight into your notes. Use it to complete your notes right after the session, or to take them without recording the conversation.

If you record with a voice recorder, « Add an audio file » imports the file into the consultation. It is transcribed like a recording made in Theramate.

For video sessions in Theramate, the patient joins from a link in their browser, without installing anything. The video is never recorded. Only the sound is captured, on your device, for the transcript.

Easy review

In the completed consultation, « Sources » then « Transcript » shows the full conversation, turn by turn, with who is speaking and when.

You correct a passage directly in the transcript, such as a proper name or the name of a medication. If you correct the summary, Theramate offers to carry the correction over to the transcript.

To check a sentence in the summary, select it and click « Trace to source ». Theramate finds it in the transcript and in your notes, and shows you the exact passage with the moment it was said.

After closing the session

When you close the session, the transcript and your notes are used to write the session report and to update the whole patient file. Everything Theramate prepares at that point is described in the article on the session report and the patient file.

Theramate helps you obtain the patient’s consent to recording and keep a record of it. The intake form you send includes a checkbox « I authorize my therapist to use audio transcription of sessions. ». Verbal consent is recorded in the « Consents & proof » tab of the patient file, with its date.

If a patient prefers that AI is not used in their care, choose « The patient declines ». Recording is then no longer offered in their file.

In Europe, with no data retention

Transcription is carried out on servers located in Europe. Our transcription provider retains no data. Neither the audio nor the text stays with them once the transcription is finished. The audio is never sent to them under the patient’s name. They are bound to Theramate by a GDPR data processing agreement and are not allowed to use your data to train their models.

The audio is deleted from our servers as soon as the transcript is saved in the file.

The transcript is kept in the patient file, hosted and operated in the European Union and encrypted with a key specific to each practitioner. All our safeguards are in How Theramate protects your patients’ data.
