Some practitioners type during the session, others write with a stylus, others still keep a notebook. Theramate welcomes these three ways of taking notes in the same file, whether you are a psychologist, psychotherapist, psychiatrist, couple and family therapist, speech therapist, psychomotor therapist or coach. Your diagrams, your genograms and your paper notes become text you can find months later.

One editor for every way you take notes

« Launch Consultation » opens the session editor. You combine the keyboard, dictation, stylus and recording there, without choosing in advance. Before the session, the « Preparation Notes » hold your reminders, which stay separate from the session notes.

On the keyboard and by voice

On the keyboard, your notes are saved every thirty seconds. The « Dictate » button turns your voice into text, straight into your notes, for example to complete a session just after the patient leaves.

To record the conversation itself, transcription is described in Theramate transcribes your sessions word for word, in 60 languages.

With a stylus, on iPad and Android tablets

« Handwritten Notes » turns the screen into a notebook. You write with the Apple Pencil on iPad, or with a stylus on an Android tablet.

  • The « Pen » comes in three thicknesses, « Thin », « Medium » and « Thick », and four colours, « Slate », « Blue », « Emerald » and « Rose ».
  • The « Eraser », « Undo » and « Redo » correct a stroke.
  • « New page » adds a page, as in a notebook. « Switch to continuous document mode » unrolls one long sheet, handy for a genogram that keeps growing or for notes without breaks.

You can also write on a document. « Import PDF » opens one of the « Therapist PDFs » or « Patient PDFs », up to ten pages, and you annotate it with a stylus, for example an assessment grid, a scanned child’s drawing or a paper questionnaire.

Your diagrams and genograms, recognised

When you have finished, « Done » then « Convert to text » turn your pages into text in the consultation. Theramate recognises your headings, lists, tables, diagrams and genograms.

Consultation sources · family sessionHandwritten Notes
Original handwriting
Two pages written with a stylus, a three-generation genogram and a list of three goals.
Recognised text
Genogram. Father, 52, distant relationship with his eldest son. Mother, 49, very close to the younger daughter. Maternal grandmother died in 2019.
Goals
1. Sunday meal without screens. 2. Time alone for father and son. 3. Take stock in a month.

The original is never replaced. In the « Consultation sources », you find the « Recognized text from handwritten notes » and the « Original handwriting », which you reopen full screen, page by page.

If the connection drops while you write, your notes stay on the device. Their conversion to text restarts on its own as soon as the connection is back.

From a paper note

Your notebook has its place too. In the consultation, « Already have a written record? » then « Choose a file » accepts a PDF or a photo, as JPG, PNG, WebP or HEIC. Its content is placed in your consultation notes, and all you have to do is review it.

  • For a session from before Theramate, « Add a past session » creates a dated session from a PDF, a photo or existing notes.
  • For a patient’s old file, the « Historical Data » bring in your old notes, reports and assessments.

What your notes become

Your notes, typed, dictated, handwritten or imported, are used when you close the session.

  • The session summary is written from them and from the transcript if you recorded.
  • « Trace to source » finds, in your notes, the sentence a line of the summary comes from.
  • « Search the patient file » later answers a question asked in your own words, with the date and the passage of the session.

Everything the closing prepares is described in Everything Theramate prepares when you close a session.
