Theramate is published by Playfield SRL (company number 0833.702.033, Chemin de Toune 4, 1325 Chaumont-Gistoux, Belgium). Theramate is a professional assistance tool designed to facilitate practice management, clinical note-taking, and therapeutic analysis.
It is not a medical device and in no way substitutes for the clinical judgment of the professional.
Encryption: All clinical and personal data is encrypted with AES-256-GCM at rest, with a key specific to each practitioner. Exchanges are encrypted in transit (TLS).
Hosting: Application data is hosted on Google Cloud infrastructure located in the European Union, with contractually governed subprocessors.
Your rights: In accordance with GDPR, you have the right to access, rectify, port, and delete your data.
Retention: Data is retained for the duration of your subscription. After termination you keep twelve (12) months of read and export access before permanent deletion, and you may request immediate deletion at any time.
Features and providers: Theramate uses the professional APIs of Google and OpenAI for writing assistance, summaries, documents and contextual responses. Audio transcription is provided by Soniox through its European (EU) endpoint.
Data processed: Depending on the feature used, the necessary data is sent to these providers: notes, transcripts, selected documents and clinical context to Google and OpenAI; session audio to Soniox.
Your data remains confidential
AI providers do not retain the content sent to them and never use it to train or improve their models. These safeguards are backed by contractual confidentiality and data protection agreements, including Zero Data Retention (ZDR) commitments.
Processing takes place in volatile memory solely to perform the requested task, without storage or logging of content by AI providers. Our own technical logs contain no health data.
Within Theramate, your clinical records remain stored to support your ongoing care, encrypted at rest. Communications with providers are also encrypted in transit.
Authorization: By accepting these Terms, you authorize Theramate to send Google, OpenAI and Soniox the data necessary for the AI features you use, under the conditions described above. This authorization does not replace the information and authorizations required from your patients.
Your professional control: Generated content consists of proposals that you may review, edit, accept or reject. It does not replace your clinical judgment.

Playfield SRL is bound by a best-efforts obligation in performing these terms.
Playfield SRL is liable only for direct damage resulting from a proven breach of its contractual obligations. It is not liable for indirect damage, including loss of business, of patients, of revenue or turnover, loss of profit, reputational harm and increased overheads.
In any event, the total liability of Playfield SRL under the contract, all damages combined, is limited to the amount of the subscription fees paid by the Practitioner during the twelve (12) months preceding the event giving rise to the damage.
The foregoing limitations do not apply in the event of wilful misconduct or gross negligence by Playfield SRL or its staff, nor to liabilities that the law does not allow to be limited, including damage to a person's physical or mental integrity. They do not release Playfield SRL from liability for non-performance of the essential obligations of the contract, and in no way limit the rights of data subjects under data protection law.
This article survives the end of the contract, whatever its cause.

We strive to ensure optimal platform availability. Interruptions for maintenance or updates are announced in advance whenever possible.
Service availability is a best-efforts obligation.
Who does what: you are the data controller under the GDPR. You decide the purposes and the means of processing your patients' data. Playfield SRL is the processor: it processes that data on your behalf and on your instructions.
Data processing agreement: our Data Processing Agreement, available at theramate.pro/en/dpa, forms an integral part of these terms. By accepting them you enter into the legal act required by Article 28 GDPR. It is dated and versioned; earlier versions remain available. A countersigned copy is provided on request.
Sub-processors: you authorise the use of the following sub-processors: Google Cloud (hosting, database, authentication), Scaleway (transactional email and hosting of the video consultation server), Google and OpenAI (writing assistance and analysis), Soniox (audio transcription), Stripe (payment processing when you invoice through Theramate).
The up-to-date list, with each one's purpose and location, is set out in our Privacy Policy. Any addition or replacement is notified to you at least 30 days before it goes live, under the terms of the Data Processing Agreement, which gives you a reasoned right to object.
These Terms are governed by Belgian law.
Any dispute relating to their interpretation or execution shall be submitted to the courts of Brussels.
